Provision of products and services (Shopify – B2C)

Zusätzliche Informationen zur Verarbeitung im B2B-Portal

Wenn Sie sich in unserem B2B-Portal registrieren und Bestellungen aufgeben, verarbeiten wir die von Ihnen angegebenen Daten (insbesondere Name, Praxis/Firmenname, Rechnungs und Lieferadresse, E-Mail-Adresse, ggf. Telefonnummer, Zugangsdaten, Bestellhistorie). Die Verarbeitung erfolgt zur Einrichtung und Verwaltung Ihres Kundenkontos sowie zur Abwicklung von Bestellungen einschließlich Lieferung und Rechnungsstellung (Art. 6 Abs. 1 lit. b DSGVO).

Für die Zahlungsabwicklung setzen wir den Zahlungsdienstleister Stripe ein. Zahlungsdaten werden direkt zwischen Ihnen und Stripe ausgetauscht; wir erhalten nur transaktionsrelevante Informationen (z.B. Erfolg/Misserfolg der Zahlung). Für Lagerhaltung und Versand nutzen wir unseren Fulfillment-Dienstleister Fly Fulfillment GmbH, der zur Erfüllung des Vertrages insbesondere Ihre Lieferadresse und – sofern für die Paketankündigung erforderlich – Ihre E-Mail-Adresse/Telefonnummer erhält. Die Auslieferung erfolgt in der Regel über DPD oder DHL.

Communication with you and service improvement

Contract Processing and ERP (Odoo)

For the central management of our customer and business data – both from the B2C online shop (Shopify) and from the B2B portal – we use the ERP system Odoo. All incoming order, invoice, and customer data are consolidated in Odoo and processed there.

Provider: Odoo S.A., Chaussée de Namur 40, 1367 Grand-Rosière, Belgium

As part of this processing, the following personal data is processed: company name or name, contact person, billing and shipping address, email address, phone number, VAT ID (B2B), order and quote history, billing information, communication records, as well as support requests and related correspondence.

Purpose: Proposal creation, contract execution, invoicing, accounting, helpdesk, regulatory documentation obligations.

Legal basis: Art. 6 para. 1 lit. b GDPR (Contract performance) as well as Art. 6 para. 1 lit. c GDPR (Legal retention obligations under HGB and AO).

There is a contract for data processing with Odoo S.A. in accordance with Article 28 of the GDPR. Since Odoo S.A. is based in Belgium, the processing takes place within the EEA.

Shipping processing and fulfillment service provider

Zur Durchführung der Lieferung bestellter Waren bedienen wir uns externer Logistik- und Fulfillment-Dienstleister (fly fulfillment GmbH, Schulzacker 4, 35638 Leun). Zur technischen Abwicklung und Steuerung der Fulfillment-Prozesse nutzt unser Fulfillment-Dienstleister das JTL-Fulfillment Network (JTL-FFN) (JTL-Software-GmbH, Rheinstr. 7, 41836 Hückelhoven) über die Schnittstelle FFN Connect. 

Hierzu übermitteln wir ausschließlich die für die Versandabwicklung erforderlichen personenbezogenen Daten, insbesondere:

• Firmenname
• Ansprechpartner
• Lieferadresse
• ggf. Telefonnummer zur Zustellkoordination
• bestellbezogene Referenzdaten

Die Verarbeitung erfolgt ausschließlich zum Zweck der Vertragserfüllung gemäß Art. 6 Abs. 1 lit. B DSGVO.

Mit den eingesetzten Fulfillment- und Logistikdienstleistern besteht ein Vertrag zur Auftragsverarbeitung gemäß Art. 28 DSGVO. Die Verarbeitung erfolgt weisungsgebunden und ausschließlich im Rahmen der vertraglichen Leistungserbringung. Sofern im Rahmen der technischen Abwicklung Subdienstleister (z. B. im Rahmen des JTL-Fulfillment Network) eingesetzt werden, erfolgt dies ebenfalls unter Einhaltung der datenschutzrechtlichen Anforderungen und auf Grundlage entsprechender Vereinbarungen zur Auftragsverarbeitung. Eine darüberhinausgehende Nutzung der Daten durch die Dienstleister erfolgt nicht.

Payment processing in the B2B portal (Stripe)

Für die Abwicklung von Zahlungen über unser B2B-Portal (Odoo) setzen wir den Zahlungsdienstleister Stripe (Stripe Payments Europe Ltd., 1 Grand Canal Street Lower, Dublin 2, Irland) ein.  

Stripe processes payment data independently as the data protection controller. We only receive transaction-relevant information (e.g., success/failure of the payment). Legal basis: Art. 6 para. 1 lit. b GDPR.

Deployment of a chatbot system

Auf unserer Website betreiben wir einen Chatbot zur automatisierten Bearbeitung von Nutzeranfragen. Verantwortlich für den Betrieb des Chatbot-Systems sind wir. Für die technische Umsetzung und den Betrieb des Chatbots setzen wir externe Dienstleister ein, namentlich die n8n GmbH, Berlin, zur Workflow-Automatisierung sowie OpenAI, L.L.C., USA, zur Bereitstellung der KI-Technologie („ChatGPT“). Diese Dienstleister werden im Rahmen einer Auftragsverarbeitung tätig. Im Rahmen der Nutzung des Chatbots werden folgende personenbezogene Daten verarbeitet: eingegebene Nachrichteninhalte, Name sowie E-Mail-Adresse der anfragenden Person, soweit diese im Rahmen der Kommunikation mitgeteilt werden, sowie technische Verbindungsdaten. Die Verarbeitung erfolgt zum Zweck der Bearbeitung eingehender Anfragen sowie der Optimierung des Kundenservice. Rechtsgrundlage ist Art. 6 Abs. 1 lit. f DSGVO (berechtigtes Interesse an einer effizienten und skalierbaren Kundenkommunikation), soweit die Verarbeitung nicht der Anbahnung oder Erfüllung eines Vertragsverhältnisses dient; in diesem Fall ist Rechtsgrundlage Art. 6 Abs. 1 lit. b DSGVO. Mit dem Anbieter des Chatbot-Systems wurde ein Vertrag zur Auftragsverarbeitung gemäß Art. 28 DSGVO geschlossen. Der Anbieter verarbeitet personenbezogene Daten ausschließlich nach Weisung des Verantwortlichen und nicht zu eigenen Zwecken. Chatverläufe werden für die Dauer von zwölf Monaten nach Abschluss des jeweiligen Vorgangs gespeichert und anschließend routinemäßig gelöscht, sofern keine gesetzlichen Aufbewahrungspflichten entgegenstehen.
